Policy Overview
Studio Luna is a small studio, and when an appointment is held for you, we reserve that time slot exclusively. When appointments are cancelled with little notice, that time is often unable to be rebooked, which affects our business and other clients waiting for availability.
That said, life happens. This policy is designed to be fair, transparent, and flexible where possible.
The Short Version
24 hours' notice = no fee. Less than 24 hours = late cancellation fee. No-show = full session fee. Package refunds available with conditions. Affirm-financed purchases refunded through Affirm.
Advance Notice
To cancel or reschedule without a fee, you must provide at least 24 hours' advance notice before your scheduled appointment time. For appointments scheduled on Monday, this means you must contact us by Sunday at the same time.
The "notice clock" starts when we receive your cancellation message via email, phone, text, or in person — not when you send it. We recommend confirming receipt during business hours.

Our cancellation fees are:

Fees apply to the cost of the specific session, calculated at the individual session rate. For package sessions, the session is forfeited from your package balance.
No-Shows
If you do not arrive for a scheduled appointment and have not contacted us:
- The full session fee is charged
- For package sessions: one session is forfeited
- For Affirm-financed purchases: the session is not refundable
- After three no-shows, we may require pre-payment for all future appointments
Package Refunds
Package purchases are subject to the following refund terms:
- Pro-rated refunds available for unused sessions within 12 months of purchase
- Used sessions are charged at individual rates (forfeiting package savings)
- Refund processed minus a 5% administrative fee
- Refund requests must be submitted in writing to info@spastudiolunabodysculpting.com
- Sessions completed cannot be refunded
Example: Gold Package ($1,990, 8 sessions, $249/session individual rate). Client completes 3 sessions, requests refund. Calculation: $1,990 paid − (3 × $249 individual rate) = $1,243 remaining. Minus 5% admin fee = $1,180.85 refunded.
Affirm-Financed Refunds
For purchases financed through Affirm:
- Studio Luna processes the refund to Affirm
- Affirm applies the refund amount to your loan balance
- If your loan balance is less than the refund amount, the difference is refunded to your original payment method via Affirm
- You remain responsible for any remaining Affirm loan balance after refund
- Processing takes 5–10 business days through Affirm
Important: Affirm Loans Continue
Until Affirm processes the refund, your loan payments continue as scheduled. If you have questions about Affirm loan status, contact Affirm directly at affirm.com. Studio Luna does not manage Affirm loans.
How to Cancel
You can cancel or reschedule by:

- Replying to appointment confirmation: Use the link in your confirmation email
We recommend confirming receipt of your cancellation, especially for short-notice changes.
Exceptions & Flexibility
We recognize that life happens. We may waive cancellation fees for documented:
- Medical emergencies (yourself or immediate family)
- Severe weather or natural disasters
- Family emergencies
- First-time late cancellations (one-time courtesy)
Exceptions are at our discretion and require notification as soon as possible. Repeated late cancellations or no-shows, regardless of reason, may result in pre-payment requirements for future bookings.
Our Cancellations
If Studio Luna cancels your appointment (due to equipment issues, staff illness, or other reasons):
- You will be notified as soon as possible
- We will offer rescheduling at no cost
- A full refund is available upon request
- For Affirm-financed sessions, refund processed through Affirm
- We may offer a complimentary session or upgrade as a goodwill gesture
